Xero Sync, bulk actions and sending questionnaire invites

How to sync with Xero, perform bulk actions on clients, and send or schedule questionnaire invites.

Xero Sync

Xero Sync brings your clients and jobs across from Xero into Zato in one connected flow. Once set up, the trial balance also pulls from Xero into the Chart of Accounts (CoA) Mapping step on every job. Follow the steps below to connect Xero and complete the mapping for clients and jobs.

  1. Log in to Zato.

  2. Go to the Clients screen.

  3. Click Sync with Partner.

  4. Select Xero and click Next.

  5. Click + Add Clients from Xero and sign in using your Xero credentials.

  6. Search and select the organisation you want to sync.

  7. Click Allow Access.

  8. Select the client or clients you want to bring across and click Next.

  9. Click Connect to Practice Manager.

  10. On the Unmapped Clients tab, select the matching XPM client from the dropdown next to each Zato client, then click Save Mappings and Next.

  11. Select the jobs to bring across and click Save Job Mappings.

  12. On the Clients screen, click the pencil icon under the Actions column on each newly synced client to confirm the client details, then repeat on the Jobs screen for the synced jobs.

Xero Sync is typically set up once with your Partner Success Manager during onboarding. You can pick which clients and jobs to bring across. Once connected, the trial balance pulls from Xero into the Chart of Accounts Mapping step automatically on every synced job.

Bulk actions

When managing a large portfolio, the Bulk Actions menu allows you to update multiple engagements simultaneously. Use Add to Group to categorise clients into specific groups to manage related entities or industries as a single unit.

Sending questionnaire invites

You can send a questionnaire (Lean Questionnaire or a manually created questionnaire) immediately or schedule it for a later date, ideal for managing your firm's capacity during peak periods.

  • Schedule: Select the specific date you would like the questionnaire released. The system will handle delivery automatically that morning.

  • Send manually: Select the required client and click Send Invite to send the questionnaire instantly.

Responding to the questionnaire is not mandatory. Even if the client does not complete it, the workflow is not blocked and you can continue with Job Setup and proceed with the automation process.

Editing clients

All clients added to Zato, whether manually or imported from CSV, can be edited at any time. Click the pen icon under the Actions column next to the relevant client. The client's existing details will appear in a pop-up window. You can modify any field except Client Name, then click Save to update.
