How to set up your firm profile

A step-by-step guide to the seven firm setup tabs in Zato — Tabs 1 and 2 must be completed before any job can run.

Before you start

Tabs 1 and 2 are mandatory. Nothing else works until these are done.

Tab 1 — Firm Details (mandatory)

  1. Tick the Terms of Use checkbox — all fields are locked until you accept

  2. Enter Business Name, Email, and Phone Number

  3. Upload Firm Logo (JPG/PNG) and Client Terms of Engagement (PDF) — optional

  4. Add branches if needed — click Add New Branch, enter name, location, contact details

  5. Click Next Step

Tab 2 — Permissions and Users (mandatory)

  1. Click Add User

  2. Enter Full Name, Email, Role, Contact Number, Branch

  3. Click Save — repeat for each team member

  4. Use the Permissions panel to review what each role can access

Tab 3 — Questionnaire Management

Default questionnaires are ready for Companies, Trusts, Partnerships, Sole Traders, Individuals, and Lean. Add or reorder questions at a firm level, or customise per individual client.

Tab 4 — Workpaper Thresholds

Set dollar values or percentages per workpaper type. Default is $1. GST, Sales, and Wages use percentages. Ask your PSM for recommended starting values.

Tab 5 — Materiality Thresholds

Defaults: $20 transactional, $100 aggregate, $1,000 high-value. Set separately for GL and GST.

Tab 6 — Rules Builder

Create custom GL scrutiny rules. Define account codes, entity type, clients, conditions, and severity. Rules apply automatically across selected clients.

Connect Xero, IRD, and other data sources. See the Integrations collection for details.

Common mistakes

  • Skipping Tab 1 acceptance — nothing works until Terms of Use are ticked.

  • Setting workpaper thresholds too low creates excessive flags on every job.
