Rules Builder

How to create and manage automation rules that govern GL scrutiny across your firm's clients.

The Rules Builder lets your firm define exactly how Zato flags or reclassifies transactions during General Ledger (GL) Scrutiny. Well-configured rules mean faster review and fewer false positives. Rules apply across all your clients by default and can be tailored per client without affecting the global rule.

Navigating the Rules Builder

  • The Classification Rules table shows all rules, both system defaults and firm-built.
  • Search by Rule Name, Account Code, or Action Message.
  • Use the All Clients dropdown to filter, Bulk Apply to update multiple rules, or + Add Rule to create a new one.

Rules table columns

Each rule shows: Rule number, Rule name, Account, Condition, Action Message, Entity Applicability (icons for Company, Trust, Partnership, Individual + Goods and Services Tax (GST) applicability), Keywords, Reclassification (Yes/No), Severity (Critical, Warning, High Priority), and Created By (System or user).

Creating a new rule

  1. Click + Add Rule.
  2. Scope: Rule Name, Account Codes, Entity Type, Clients (specific or All).
  3. Parameters: GST/Year, Column (Debit / Description / Source), Operator (Greater than / Equal to / etc.), Value.
  4. Action and severity: Set severity (Critical, High Priority, Warning). Enable Reclassification if transactions should auto-reassign to a different account.
  5. Add an Action Message describing what action is required.
  6. Click Save Rule.

Rules are global by default. Editing a rule for a specific client makes that change client-specific only, the global rule is preserved.

Go to Firm Setup and click Rules Builder.
