Review and sign-off, full workflow overview

The complete four-step workflow from automation through to director sign-off.

Every job in Zato follows a structured workflow from preparation through to final director sign-off. Understanding the full sequence helps each team member know exactly what is expected at each stage.

Step 1, Running automation (Accountant)

The assigned Accountant completes Job Setup, reviewing questionnaires, performing Chart of Accounts (CoA) mapping, and uploading all required documents. Once setup is complete, the Accountant clicks Run Automation to process the data and generate the General Ledger (GL) Scrutiny results and workpapers.

Step 2, Preparation and submission (Accountant)

The Accountant reviews the generated workpapers, addresses any anomalies, creates manual journals if needed, and resolves internal queries. Once the job is fully processed, the Accountant clicks Mark Ready for Review to formally submit the job to the review team.

Step 3, Reviewing and approving workpapers (Manager or Director)

A designated Reviewer (typically a Manager or Director) reviews the submitted job. For each workpaper on the Workpapers Dashboard, click Approve to open the approve or reject prompt, then select the appropriate option. Both approved and rejected workpapers will reflect their status on the dashboard.

The final sign-off option remains greyed out and inactive until every individual workpaper has been successfully approved. Any rejected workpapers must be corrected and re-run before sign-off becomes available.

Step 4, Final sign-off (Director)

Once all workpapers are approved, the Ready for Sign-off option becomes enabled on the Director's account. The Director performs a final check of the job, clicks the pen icon, enters their name to generate the digital signature, and clicks Sign. This action locks the job as view-only for all users and completes the engagement.
