Manual Journals: Creating, Posting and Managing

Recording adjustments that don't come from the trial balance or a workpaper.

Manual Journals are entries that sit outside automation, used for non-routine transactions, corrections, accruals, provisions, or adjustments identified during review or GL Scrutiny.

Manual Journals dashboard

A summary strip shows five counts: Total, Incomplete, Posted, Voided, and Reversals. Category cards below group journals by source: GL Scrutiny, Workpapers, Smart Coding, and Others (entered directly by a person).

Dashboard table columns

MJ ID, Date, Narration, Account, Debit, Credit, Status (Incomplete, Posted, Voided), Source, Name (creator), and Actions (View, Edit, Void, Download).

Filters and search

Free-text search across all columns; filter by status, source, or date range.

Creating a manual journal

1. Click + Add New Manual Journal, top right.

2. Complete Journal Details: Journal Source, Journal Type, Narration, Date, and Auto Reversing Date.

3. Set the two options if relevant: default narration to journal line description, and show journal on cash basis reports.

4. Add Tracking categories if the job uses them.

5. Enter the Journal Line Items: Account, Description, Debit, Credit (in the client's local currency, NZD or AUD), and Tax Rate for each line.

6. Attach supporting documents where required.

7. Save. The journal stays Incomplete until every required field is complete and debits equal credits, at which point it can be moved to Posted.

Editing or voiding a journal

Use the actions on a journal's row: View, Edit, Timeline, and Void. Voided journals remain visible on the dashboard for audit purposes but are excluded from balances.

Raising a journal from a workpaper

A journal can also be raised directly from within a workpaper using its MJ option, prefilled with that workpaper as the source. Once posted, it appears as a new line item in that workpaper once its balance refreshes.
