Adding Clients: Manual, CSV and Sync with Partner

The routes available for bringing a client into Zato, and how to navigate the client list.

Clicking Add Client on Setup Clients/Jobs offers four routes: Manual, Xero, and, coming soon, QuickBooks and MYOB. The route you choose determines how much data entry is required, a client already in Xero should never be entered manually.

Adding a client manually

1. Click Add Client, top right of Setup Clients/Jobs, then select the Manual tile.

2. Leave New Client selected, or select Import From CSV for a batch upload.

3. Complete the four required fields: Client Name, Branch, Entity Type, and Director.

4. Complete optional fields where available: Assign Team Members, tax identifier (IRD Number for NZ, ABN / TFN for AU), Add to Group, Client Email, Phone Number, Address, and Upload CoA are all optional.

5. For NZ clients, setting Entity Type to Company enables a Connect to Companies Office option, which looks up the client's registration details directly from the register. For AU clients, ASIC company lookup is not yet live, company details (including ACN) are entered manually

6. Select Send Client Portal Invite if a Client Email has been entered and portal access should be granted immediately.

7. Click Create Client to save, or Save & Add Job to save the client and move straight into creating their first job.

Bulk upload via CSV

Select Import From CSV within the Manual tile, download the Zato template, populate it using the same fields as the manual form, and upload. Entries are validated before importing.

Adding via Xero

Selecting Xero opens login with Xero.

1. Click Add Client, then select the Xero tile.

2. Xero's own sign-in screen opens. Enter the Xero-registered email and password, then log in.

3. Select the Xero organisation(s) you want to connect.

4. Click Continue to authorise. Zato imports the selected clients automatically, each tagged as Xero-sourced.

5. Optionally, connect XPM to bring across the jobs sitting under those clients too, then proceed to Create Jobs.

QuickBooks and MYOB are shown as options but marked Soon; they are not yet available to use.
