Sales and Cost of Goods Sold workpaper (GPR)

The Sales and Cost of Goods Sold workpaper builds a trading account for the job, pulling in Sales and Purchases/Direct Expenses account balances to calculate Gross Profit and Gross Profit Ratio.

Workpaper availability

GPR requires no COA mapping and isn't added to a job by default. It sits in the Workpaper Bank, and a user adds it when a job requires it. Once added, it's moved under the Income heading.

Number of trading accounts

The number of Trading Accounts shown in the workpaper is set by the user. For example, setting this to 2 displays Trading Account 1 and Trading Account 2 as separate sections, each with its own Sales, Purchases/Direct Expenses, and Summary tables. Trading Account names are editable.

Sales section

  • Each row in the Sales section has a COA Account Code dropdown, showing accounts with Xero Account Type Sales or Revenue.

  • This Year: populated from the General Ledger closing balance for the selected account code. A debit balance displays as a negative value, and a credit balance displays as a positive value.

  • Last Year: populated from the Trial Balance for the selected account code. A positive amount displays as a negative value, and a negative amount displays as a positive value.

Purchases / Direct Expenses section

  • Each row has a COA Account Code dropdown, showing accounts with Xero Account Type Direct Cost, Expense, or Overhead.

  • This Year: populated from the General Ledger closing balance for the selected account code. A debit balance displays as a positive value, and a credit balance displays as a negative value.

  • Last Year: populated from the Trial Balance for the selected account code. A positive amount displays as a positive value, and a negative amount displays as a negative value.

Summary section

Each trading account's Summary table brings together Sales, Opening Stock, Purchases/Direct Expenses, and Closing Stock, for This Year and Last Year, and calculates:

  • Gross Profit

  • Gross Profit Ratio

Row management

Rows can be added to or deleted from the Sales and Purchases/Direct Expenses sections as needed.

How to access

  • Since GPR isn't active by default, go to the Workpaper Bank, find Sales and Cost of Goods Sold, and add it to the job. It will appear under Income.

  • Go to Jobs and open the relevant job.

  • Click the Workpapers icon, or navigate to Job Results then Workpapers.

  • Select Sales and Cost of Goods Sold (GPR) on the Workpapers Dashboard.
