Working an IRD Notification
Take a notification from received to completed, with help from Ziffy.
Select a notification to open its side panel. It shows the workflow and follow-up date, Ziffy’s assessment, any draft client email, the IRD letter (View document, or Save to ZBox to keep a copy), the notification details with a link to the job, and a timeline.
A notification moves through these stages: Received, Assessed by Ziffy, Assigned, Action required, Client contacted, Awaiting client, Completed.
Work a critical notification
1. Read Ziffy’s assessment. Edit the plan if needed, then select Save or Accept plan.
2. If the client must provide something, review the draft email and select Approve. Copy it, or select Open in mail app to send it from your own email.
3. Select Mark as sent. The stage changes to Awaiting client, and a follow-up date is set if there is none.
4. When the client replies, select Record response.
5. Do the work, for example file the return or reply to IRD in myIR.
6. Select Confirm action, check the What did you do? text, and select Confirm. The notification is marked Completed and its reminders stop.
A Review notification has no Ziffy assessment. Read it, then use Confirm action to record what you did.
Ziffy’s assessment
For each critical notification, Ziffy gives a plain summary, the urgency and why, a recommended route (ask the client, handle it internally, or respond to IRD in myIR) with reasons, and a suggested follow-up date. Select Use this date to apply it. The label shows how the suggestion was made: Ziffy · AI where IRD’s letter needed reading, or Ziffy · Standard rules for routine notices.
Follow-ups and reminders
• On the follow-up date, the owner receives a bell notification.
• If the notification is still open 3 days later, the client’s manager and director receive an escalation.
• These reminders appear in the portal only; no email is sent. Confirming the notification stops them.
