My data is not appearing after upload

Reasons uploaded files may not show up in workpapers and how to resolve each.

If you have uploaded a file but the data is not appearing where you expected, work through these checks.

1. File uploaded to wrong category

Files must be uploaded to the correct Data Source category for Zato to process them:

  • Xero exports go under Ledger
  • Inland Revenue Department (IRD) reports go under IRD
  • Company Extract goes under Companies Office
  • Bank statements, invoices, and other client documents go under Source Docs

If a file is in the wrong category, delete it and re-upload to the correct one.

2. Bulk upload misclassification

When using bulk upload, Zato may not always assign the correct document type. Review your file classifications in the Data Sources tab and adjust any that are incorrect.

3. Automation has not been re-run

Uploading new files alone does not refresh existing workpaper data. Click Run Zato after uploading to incorporate the new information.

4. File format incorrect

Verify the file format matches what Zato expects. Trial Balance (TB) and Chart of Accounts (CoA) need to be CSV or XLSX. IRD reports should be uploaded as PDFs in the format provided by myIR.

5. Source Docs requires Extract step

Files uploaded to Source Docs are stored as references initially. To trigger data extraction from a Source Docs file, select the file and click Extract.

6. Workpaper-specific upload required

Some workpapers expect files uploaded directly within the workpaper (via the Edit then Upload flow), not at the job level. Refer to the specific workpaper reference article to confirm.
