Checklist

Set up the firm’s standard checklist of points to confirm on every job, grouped by stage.

The Checklist is the firm’s standard list of points to confirm on every job, so nothing is missed before sign-off. The Checklist tab shows how many points it holds, for example 35 pointers · 6 categories. A firm that has not set it up sees Not configured. Select Adopt from Zato to start from Zato’s standard checklist.

Stages & sign-off

Every point belongs to exactly one stage.

Stage

When

Pre-work

Before work on the job begins.

In-progress

While the workpapers are being prepared.

Completion

Before the job is finally signed off.

For each stage, Who can sign off lists the role levels from L1 to L6. Select any combination. One sign-off from any selected role completes the stage.

Categories & pointers

Points are grouped into categories. The entity types, the roles required to mark the points, and the stage are set on the category and apply to every point in it. Use Show pointers for to see the points for one entity type. Open a category to see its points; each shows its source (for example Firm Standard), the entity types and the role that marks it.

Set who can sign off a stage

1.    Go to Firm Settings, then Configurations, then the Checklist tab.

2.    Under Stages & sign-off, find the stage.

3.    Next to Who can sign off, select each role level that may sign off that stage.

Add or change categories and points

1.    Under Categories & pointers, select + Add Category and set its name, entity types, roles and stage.

2.    To add a point, open the category and select + Add Checklist Pointer.

3.    Use Edit Category or Delete Category to change or remove a category, and Edit or the bin icon on a point to change or remove that point.

Note: Changing the entity types or roles on one point does not change the category or its other points; that point is marked Overridden. A category your firm has added or changed, including any point in it, is marked Updated.

To use the checklist on a job, switch it on in that job’s Job Setup. See Using the Job Checklist.
