Job Setup: Questionnaire, CoA Mapping and Data Sources

Getting a job ready before running the automation.

Job Setup covers the job's own details, its thresholds, and Files & Mapping, the area where the trial balance is mapped, documents are uploaded, and mapping progress is tracked.

Files & Mapping

       By Account: upload the Trial Balance, then confirm or correct each account's Parent Account mapping. Mappings already approved at client level flow through automatically.

       By File: upload documents can be uploaded directly into the job, optionally tagged by source: Ledger, IRD/ATO, Companies Office/ASIC Extract, or Client Direct. Get from ZBox retrieves files from a connected ZBox integration.

       By Workpaper: a workpaper-centered view of mapping progress, filterable by All, To map, Mapped, or Missing docs.

A Job ledgers indicator tracks the three files every job needs: GL Current Year, GL Last Year, and Trial Balance.

When a file is uploaded, Zato automatically identifies which workpaper or purpose it relates to.

Column

Description

File name

The name of the uploaded file.

File category

The workpaper or purpose identified for the file, shown with a confidence percentage where applied automatically.

Category source

Client Direct, or the name of the integration the file arrived through.

Reference Workpaper

The specific workpaper the file is linked to.

State

Categorised, Uncategorised, or Low confidence.

File origin

Manual upload or a connected integration.

Filters narrow the view to All, Uncategorised, or Low confidence, each shown with a running count.

To review and correct file categorisation:

  1. Open the job and go to Job Setup, then Files Mapping.

  2. Use the Uncategorised or Low confidence filter to see which files still need attention.

  3. Select a file and confirm or correct its File category and Reference Workpaper.

  4. Repeat until every uploaded file shows a State of Categorised.

A file left Uncategorised is not linked to a workpaper and will not contribute to that workpaper's supporting evidence or figures.
