Rules Builder
Defining how Zato flags or reclassifies transactions during GL Scrutiny.
Rules Builder lets your firm teach Zato its own coding and scrutiny conventions, so recurring transaction types are treated consistently without manual review each time.
The Classification Rules table
Lists every rule, Zato's own defaults and any your firm has built (typically around 36 rules at firm level), searchable and filterable by client. Each row shows the rule's Account, Condition, Action Message, Severity, who created it, and whether it Reclassifies the matched transaction.
Creating a rule
1. Click + Add Rule.
2. Set its scope: Rule Name, Account Codes, Entity Type, and the Clients it applies to.
3. Set its parameters: GST/Year filter, Column, Operator, and Value.
4. Set Severity (Critical, High Priority, or Warning), and enable Reclassification if a match should be automatically reassigned.
5. Add an Action Message describing what the reviewer should do, then click Save Rule.
A new or changed rule requires sign-off from an authorised owner before it takes effect, typically a Director or the firm's quality lead, keeping every active rule traceable to an approval.
Editing, deactivating, and deleting a rule
Each rule's actions menu allows it to be edited, switched off, or deleted. Deactivating preserves the rule's full history and lets it be reactivated later; deletion is permanent.
Editing a firm-wide rule from inside a specific client automatically converts it to a client-only rule; the firm-wide version used elsewhere is unaffected.
