Stock on Hand workpaper (SOH)
How SOH is populated, and how the opening and closing stock journals auto-trigger.
The Stock on Hand (SOH) workpaper reconciles the opening stock balance, records the closing stock balance based on client-provided figures, and auto-triggers the journals needed to produce the correct year-end stock position.
Data extraction
● Account Code is picked from the General Ledger for account codes with an account type of Current Assets and an account name containing "Stock" or "Inventory."
● Description is fixed as "As per document" where a supporting document is available, or the account name from the General Ledger with "- As per General Ledger" appended where it is not.
● GL Value is the initial closing balance of the account code, picked from the General Ledger and held frozen from that point.
● Supporting attaches the document used to prepare the workpaper, or the account code ledger detail if no document was received.
Note: GL Value freezes at the figure picked up on first population. It does not update on later automation reruns even if the underlying General Ledger balance changes, so if the GL genuinely moves after the workpaper is first built, GL Value needs a manual refresh rather than relying on the next rerun to catch it.
Auto-triggered journals
Two journals trigger automatically: reversal of the opening stock, and recording of the closing stock. Validate or amend the closing value as advised by the client.
