Account Receivables workpaper (ACR)

How Account Receivables is populated from an Aged Receivables report or a client PDF, with and without a separate GST column.

The Account Receivables (ACR) workpaper reconciles outstanding receivables at year end. It has two GST variants, a version with a GST column and a No GST version, and two source paths: a software-generated Aged Receivables report, or a client-provided PDF.

Data extraction, software report

        Total: from the Aged Receivables Summary report, Total row. Report title varies by source system, Xero shows "Aged Receivables Summary", QuickBooks shows "A/R Ageing Summary", MYOB shows "Receivables with Tax" (or "Aged Receivables" on the No GST variant).

        Outstanding GST: from the same report's GST column, Total row. If the report has no separate GST amount, this is left at 0.

        Balance per GL: from the Trial Balance, the account matching the keywords "Accounts Receivable" or "Trade Debtors".

Data extraction, client-provided PDF

        Total: from the PDF's aged debtors/receivables schedule, the Total row of the Total column.

        GST: from the same schedule's GST column, Total row, using the same keyword check as above.

Note: If the PDF shows a gross total but no separate GST column, a notification should appear: "GST Details could not be extracted from the document attached. Please enter the valid amounts before proceeding to review the workpaper." This only fires when a gross amount is actually present, not when the document is simply missing.

Overdue receivables, 90+ days

Picked from the "Older" column of the aged report. Per the source guideline this is flagged for a materiality check, if overdue balances are still outstanding and exceed a preset materiality level (for example, more than 5% of sales), the workpaper should flag this for client confirmation rather than accept it silently.

Balance per GL

Balance of the account code mapped to Accounts Receivable in CoA Mapping.
